Executive Assistant
We are seeking an Executive Assistant to join our team full-time starting Monday, January 13th, 2025. You will provide essential administrative, personal, creative, and production support for our Founder and Executive Producer, Ryan Huffman. This position will assist the company in all areas of company operations and projects, including feature films, commercials, documentaries, and music videos.

Huffman Creative is a quickly growing company whose members all wear a lot of hats. The job duties may evolve or shift focus throughout the year depending on the day-to-day demands and priorities of the company. This person should be adaptable, persistent, solution-oriented, and excel in independent and collaborative problem-solving.
Responsibilities
- Manage executive correspondence and calendar, including prioritizing and responding to time-sensitive communications.
- Coordinate and attend key meetings, providing comprehensive note-taking and follow-up support.
- Oversee office operations, including vendor management, facility maintenance, and supply procurement.
- Develop and maintain organizational systems for company documentation, procedures, and digital assets.
- Support project development through research in casting, financing, and location scouting
- Assist in creating and assembling pitch decks, including image curation and creative content.
- Participate in creative and production meetings with producers, financiers, agents, and distributors.
- Coordinate pre-production logistics, including crew recruitment, equipment procurement, and location scouting.
- Manage project logistics, including petty cash administration and production calendars.
- Facilitate post-production workflows, including media management, vendor coordination, and music licensing.
- Maintain and update the company’s digital presence across website, Vimeo, and social media platforms.
- Coordinate credit administration and distribution for completed projects.
- Support company event planning and execution.
- Manage office rentals, including client communications, prepro meetings, and setup requirements.
- Oversee company storage facilities and maintain organized inventory systems.
- Supervise intern recruitment and onboarding processes.
- Coordinate executive travel arrangements.
- Manage hard drive catalog and digital asset organization.
- Execute personal projects and additional tasks as assigned.

- Previous experience as an executive secretary, administrative assistant, or in other related fields is encouraged but not necessary
Pay
40 hours per week at $25/hour. Additional hours and overtime pay will be provided if/when necessary.
Hours & Working Location
This is a full-time, in-person position. Candidates must be able to work in person, Monday through Friday 10am-6:30pm at our office – 156 N Larchmont Blvd, Los Angeles, CA 90004.
